Job Posting Date: September 25th, 2023 Closing Date: October 2nd, 2023 Start Date: As soon as possible Reporting to the office manager and activities coordinator, the administrative/activity assistantis responsible forproviding administrative and clerical services to ensure effective and efficient operations. As well as helping with the planning andexecutingactivities for the residents.The Administrative/Activity Assistant will also act in compliance with Provincial Community Care and Nursing Care Regulations. Administrative Assistant:
Act as the point of contact between management and internal/external clients
Handle requests and queries appropriately
Maintain calendars, arrange meetings and appointments and provide reminders
Take dictation and minutes and accurately enter data
Produce reports, presentations and briefs
Develop and carry out an efficient documentation and filing system
Conserves management’s time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.
Welcomes guests and customers by greeting them, in person or on the telephone; answering or directing inquiries.
Completes projects as assigned, using a variety of software tools.
Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies.
Orientate new employees, prepare new employee paperwork, keep employee files up to date.
Use payroll processing system to assist with payroll and scheduling.
Assist other departments with scheduling.
Ability to handle sensitive information with the highest degree of integrity and confidentiality.
Accept deliveries and prepare packages for pick-up.
Other duties as required.
Activity Assistant:
Responsible for providing activities that meet residents’ needs
Help assist in developing plans for programming that meet residents' needs
Evaluate effectiveness of programming
Lead or assist with conducting programming
Encourage community involvement in location and work with volunteers
Keep activity area free of hazards
Follow appropriate and adequate safety measures while on outings
Assure residents are supervised at all times while in planned groups/outings
Assist in tasks related to resident as necessary
Requirements:
Diploma/ degree from a related program or equivalentwork experience.
Excellent computer skillsdemonstrated knowledge in multiple software.
Must have excellent interpersonal skills, over the phone and in person.
Ability to work as a team member and ability to meet the physical requirements of the position.
Preference will be given to applicants with a medical office education and background.
Working Environment:
Days, evenings, weekends and holidays as required.
Frequent interaction with residents, family members, and the public.
Successful candidatemust be available to work weekends (every 2nd) and evening shifts.
Position Available: 50% Administration Assistant, 50% Activities Assistant Wage Range: 17.00-20.00 (To be determined- Based on education and experience). ***Please note that this position is also eligible for benefits once the probationary requirements have been met.
Shifts may range from 3 to 12 hours, with a combination of days, evening, weekends, holidays. The successful applicant must be able to work a combination of shifts, with flexibility.
